How to send a wedding invitation on WhatsApp (without it feeling like a forward)

6 min read · Updated 2026-10-27

Most wedding invitations in India now reach guests on WhatsApp. The difference between an invite that feels personal and one that feels like a forward is small: what you send, how you word it and when. This guide covers all three, with messages you can copy.

Send a link, not a 12 MB PDF

A PDF or a long image looks fine on your phone and blurry on everyone else's. It is heavy to download on a weak connection, it cannot be changed after you send it, and the venue address inside it is not a button.

A card that opens as a link solves all of that. It opens instantly in WhatsApp, the venue can be a Maps button, a countdown can tick down to the muhurat in each guest's own time, and when the sangeet moves from 7 to 8 PM you change it once and everyone sees the new time on the same link.

Make the card first

  1. Pick a template: start with the free one or choose one with an effect your family will love, like an envelope that opens or a flip clock.
  2. Fill in the details: both names, the day, every function with its time and venue, and a reply button with your WhatsApp number. The checklist post lists everything worth adding.
  3. Make it live and open the link on your own phone once, the way your guests will.

Message your closest people one by one

Parents, grandparents, close relatives and friends should get a message addressed to them, not a group post. Call the elders first if that is the custom in your family, then send the link so they have the details.

A short personal line before the link changes everything. For example: "Namaste Mausi! Aman and I are getting married on 14 February. We would love to have you with us for all the functions. Every detail is here: (link). Please reply on the card to let us know."

Broadcast lists for everyone else

For colleagues, neighbours and the wider circle, a WhatsApp broadcast list sends the same message to many people, but each person receives it as a private chat, not as a group. Replies come back only to you.

One thing to know: a broadcast only reaches people who have saved your number in their own contacts. If someone never received it, send them the link directly.

Avoid creating a big group just for the invite. People leave, notifications pile up and your card gets buried under good-morning messages.

When to send it

  • Six to eight weeks before the wedding for guests who travel, so they can book tickets.
  • Four to six weeks before for guests in the same city.
  • A gentle reminder about a week before, and the morning of each function for the venue and the time. Because the card is a link, the reminder can simply be the same link again.

Make replying effortless

Guests answer when it takes one tap. A reply button that opens WhatsApp with a ready message ("Hello! We will be there.") gets far more replies than "please confirm" at the bottom of a PDF. Add a contact person for the day as well, so nobody has to call the couple for directions.

Questions

Is it okay to invite people on WhatsApp?

Yes, for most guests it is now the normal way. Call your elders and closest family first if that is your family's custom, and send them the link afterwards so they have every detail.

Can I change the invitation after sending it?

With a card that opens as a link, yes. Edit it and everyone sees the update on the same link, without you sending anything again.

Why did some people not get my broadcast?

A WhatsApp broadcast only reaches people who have your number saved in their own contacts. Send the link to them directly.
